Choosing a church presentation computer, and spending a budget well
The machine running the screen is the least glamorous purchase in a church media booth and one of the easiest to get wrong, because the specifications that sell computers are not the ones that matter here.
What actually matters
Video outputs, and real ones. The machine must drive its own screen plus the projector, and possibly a confidence monitor. Check the ports genuinely support that — some laptops share bandwidth between outputs and cannot run two external displays properly. A dongle chain is a Sunday-morning failure waiting to happen.
Reliability over speed. This machine runs for three hours without being touched. A slightly slower computer that never thermally throttles is worth more than a fast one that slows down when it warms up.
Memory: 16 GB. Enough to run presentation software, a browser, and a streaming application together without swapping. 8 GB works until the week you need all three.
An SSD, which every current machine has, and which matters for how quickly the software opens rather than how it runs.
Mains, not battery. It will be plugged in permanently. Battery life is irrelevant; consistent performance on mains is not.
The specification churches over-buy is the processor. The one they under-buy is the video output — and the output is what fails visibly, in front of everyone, on a Sunday.
If it also streams
Streaming changes the calculation, because video encoding is genuinely demanding.
Hardware encoding is the specification that matters. NVENC on an NVIDIA card, Quick Sync on Intel graphics, or the AMD equivalent. It moves encoding off the processor entirely, which is what lets one machine present and stream at once.
Without it, the processor does the encoding while also running the service, and the result is dropped frames at exactly the busiest moments.
A dedicated graphics card helps beyond that, particularly with several sources or higher resolutions. It is not essential for a single-camera service with hardware encoding available.

If the machine lives in the booth and never leaves, a desktop is the better purchase by a clear margin. Churches meeting in a school or community hall need the laptop, and that is a real reason.
Spending a media budget well
Most churches spend on what is most visible rather than what is worst. The order that produces the biggest improvement is usually the opposite of the exciting one.
1. Audio. Can people hear? Nothing else matters if they cannot, and audio problems drive people away from a stream faster than any visual fault. Usually the cheapest fixes too — a desk feed, a better microphone, a DI box.
2. Light. A modest camera in good light beats an expensive camera in bad light. Often free: aim the fixtures you have.
3. The screen being readable. Type size, contrast, and enough brightness for the room. Frequently costs nothing.
4. Reliability. The thing that fails occasionally and unpredictably. A flaky cable or a failing wireless microphone costs more goodwill than any upgrade buys.
5. Then cameras, computers and the rest.
A useful question before any purchase: what did someone actually complain about last month? Buy against that, not against the wish list.
Planning an upgrade over time
Fix the weakest link, then reassess. Systems improve unevenly — once audio is fixed, the next weakest thing is often not what you expected.
Buy once where you can. Two cheap upgrades that both get replaced cost more than one adequate purchase. This applies particularly to microphones and mounts, which last a decade.
Count the whole cost. A camera needs a mount, a cable, possibly a capture card and somewhere to put it. Budgets are blown by the accessories, not the headline item.
Leave something for maintenance. Batteries, cables, replacements. A budget entirely spent on new equipment leaves nothing for the cable that fails in March.
Write down what you have. An inventory with purchase dates makes the next conversation about money a factual one rather than a wish list.
